Announcing the new benefit: an internal communications template

The first public moment of a benefit launch is the announcement – and first impressions cannot be redone. Here is a proven structure with a freely adaptable template.

The announcement e-mail skeleton

Subject: „New: a private healthcare package for everyone [from date]". First paragraph – the why, in the leader’s voice: „It matters to us that you don’t wait weeks for an examination. From [date], the company provides group health insurance to every employee." Second – the what, in three bullets: specialists-labs-diagnostics without waiting lists; annual screening; [tier extras]. Third – the how: „details at the briefing on [date]; meanwhile your one-page summary is attached". Signed by the MD, not „the HR department".

Timing: the 3 steps

Channels for non-office colleagues

E-mail reaches production and field staff poorly: use noticeboard posters (with the coordinator’s number and a QR code), shift-meeting announcements and a supervisor cheat-sheet. Multi-site communication has its own article: here.

A short blacklist

Do not write „free private healthcare" (it is not, and not everything), do not promise concrete waiting days beyond the insurer’s commitments, and do not mix tiers – everyone should see their own package precisely. Accurate, slightly understated announcement + strong briefing is the winning order.
